Committee Member Resignation & Dismissal Policy

Guidelines to determine ‘Good-standing’ for Committee Members and reasons for removal.

Purpose

This policy describes processes for a committee members to resign or be removed as a voting seats by the other committee members, establishing a clear process.

Resignation

A committee member can resign from the committee at any time by submitting their resignation to the chair.

Dismissal

A committee member can be removed from the committee if:

  • There are not regular/active contributions.

  • Committee member has not attended for 8 weeks

If the above applies:

After 4 weeks of non-attendance

Secretary should highlight non participation to Committee/Chair

After 5 weeks of non-attendance

Secretary to send reminder to participate to retain their seat

After 6 weeks of non-attendance

  • Secretary to send a notification of pending removal

  • Chair notifies ISC and presents data supporting removal

After 8 weeks of non-attendance

  • Chair will call for a Vote of No Confidence for Member

  • Chair will relinquish the individual from their seated position

  • Secretary to send notification of removal and remove access

Replacing a Committee Member

Only to be used if the Committee agrees a replacement is needed or if removing a committee member drops committee membership below 7 members.

Conditions to action a replacement:

  • Does the Committee have less than 7 members left? If yes, then Committee can chose to replace

  • Is the next election less than 30 days away? If no, then Committee can chose to replace

  • Are there more than 90 days before a new elected body joins? If yes, then Committee can chose to replace

If the above applies or if the Committee has decided in a recorded meeting they can't function without an extra members then they can opt for replacement. They can appoint a new temporary member whose term will expire when the dismissed seat would have expired by a simple majority vote. The selection should happen looking at:

  • Next candidate on the line from previous election

  • OR Subject Matter Experts (SMEs) active in the committee
